IT Charge

All employees and other active personnel at Uppsala University are charged for IT services. The IT charge finances a wide range of standardised IT services. The different levels of the IT charge are intended to match the different needs of IT services among university personnel. Please note that the IT charge does not cover the purchase of hardware such as computers, telephones and accessories.

All employees at Uppsala University with their own personal work computer are expected to subscribe to the “Employee Maxi” level in order to receive standardized IT services. The “Employee Mini” level is intended for employed staff without the need of their own personal computer.

For non-employed personnel with their own equipment, “Active Midi” is recommended. “Active Mini” is for those who only need access to basic functions, such as the Staff Portal, Primula and similar services. Heads of department, heads of division or equivalent decide on the level of IT charge and IT services for their staff based on each employee’s specific needs.

IT CHARGE – Costs and services per level in 2024

1 This subscription (Employee Midi) refers to teaching assistants and employees where another main employer provides IT infrastructure (this includes adjunct teachers and clinical assistants). A-midi will be introduced for employed personnel on January 1, 2022. Adjustment of the IT charge levels for already employed personel is handled by the Financial Administration and Procurement Division (AEU).

3 "Employee - Mini" users only have access to the wired network via service computers and related equipment. Arbitrary connection of private computers to the University’s wired network is not permitted. “Employee - Midi" and "Other Active - Midi” users can be allowed to connect their own-, non-university-owned, computers to the University’s wired network on an “as needed” basis and then only with approval by University IT Services staff. Connections to the wired network must be performed in a structured and secure manner. Arbitrary connection of private computers to the University’s wired network is not permitted.

Identity and permissions management

Most systems at the University are linked to the university-wide service AKKA for login and permissions management. The IT charge guarantees that all employees and other active personnel (as well as students) have access to an AKKA account.

Email and calendar

The IT charge provides access to email and calendar via an. university-wide Exchange service. The email address identifies you as an employee or otherwise active personnel at Uppsala University, and gives you access to certain other systems. All employees can book meetings and share calendars as needed. In some areas, the Exchange service can be used to book rooms and other resources.

Printing and copying

The IT charge provides access to printing, copying and scanning via the university-wide Eduprint service. This applies to all levels of the IT charge except “Active Mini.” The cost of printing and copying is including up to a level corresponding to normal consumption for a department/equivalent, which currently averages SEK 1,200 per employee. The included number of prints, copies and scans are summed up per department/equivalent (based on the number of employees). Printing and copying beyond the ceiling will be invoiced to the employee’s department/equivalent.

IT support and service

The IT charge provides all users access to IT support and service with regards to computers owned by the University, and for the systems, software and other services included within the user’s level of the IT charge. IT support and service are provided by IT Service Desk as well as the Service and Support units via Local IT Support. IT support is conducted by email and phone, using digital tools, or through on-site service if the problem cannot be solved in any other way.

Wired network

The levels of the IT charge for employees and “Active Maxi” provides access to the University's wired network, and allows users to connect their work computers and related equipment owned by the University to the network. The wired network is protected by a common firewall for good IT security, and all offices within Uppsala University are required to provide access to the wired network with sufficient capacity. Within the IT charge, sufficient network capacity is provided up to the cross-connection/switch port. The department/equivalent is responsible for costs related to the installation of fixed equipment, such as cables and network sockets.

Wireless network

The IT charge provides everyone (except “Active Mini” users) access to the university-wide Eduroam wireless network for the connection of work computers and related equipment. All offices within UU Uppsala University are required to provide access to the wireless network with sufficient coverage. Eduroam also works at a large number of Swedish and international institutions for higher education.

VPN

The IT charge provides everyone (except “Active Mini” users) access to the university-wide Eduroam wireless network for the connection of work computers and related equipment. Client management

Computer equipment owned by Uppsala University should be managed through one of the university-wide client management systems. This allows University IT Services to install and update operating systems and software on all computers in a secure and controlled manner. Client management contributes to keeping the computer environment up to date and secure, and enables University IT Services to provide faster and better service based on verified knowledge of the equipment and software in use.

University licensing

The “Maxi” levels of the IT charge provide access to essential software through university-wide licensing. The range of software included in the IT charge is updated continuously. Via client management systems, University IT Services can also install and update other software included in university-wide supplier agreements, and register licences for these programs. Note that licensing costs are not included for software that does not fall within the framework of the IT charge. An approved anti-virus program is installed on all client-managed computers free of charge.

Personal storage

Employees with work computers owned by the University and on the “Maxi” level of the IT charge are provided with a personal storage space to save, share and work with files via a centralized and securely managed server. Up to 100 gigabytes (GB) of storage is currently included. Access to the storage space is provided at the workplace via UU’s network or from home via a VPN connection. It is also available through the web interface or app on the employee’s smart phone.

Storage Systems Consolidations: University IT Services are currently working to migrate files and folders from previous storage solutions to the centralised system for personal folders – a centralised, reliable, scalable storage solution known within the University as “Argos.” The migration of files and folders is carried out in stages at the different campuses and over a prolonged period of time.
